How To Share A Log
Have you ever wanted to share the training exercises you created with another handler? With Dogteampro you can do this in just a couple clicks with people in your agency and those that work at other agencies!
To share a log with another handler, open the "Team" and select all the K9 teams you'd like to share this log with.
When you create a training log for multiple K9 teams, the "Submit" option will change to "Submit For Handler Review" (1). Once you click on it, it will share an individual copy with every handler so they can add their own notes in the app. If the K9 doesn't have a handler associated with it, the system will show the (2) "Change Handler" option to permanently assign that K9 to a handler (this can be modified from your K9's profile or User profile). If you don't change the handler, the system will assign the log to you and block access to any other team member.
If you're creating a new log for multiple team members, the training activity note section will be shared across the team.
Whereas the result notes will be for every specific K9 team.
Once the log is shared, the recipient may also find a reminder for the shared log on their Dashboard. From here, they can click on the “View Training Log” in the orange ribbon as below. The reminder will disappear once the log is completed. If the log is accessed through the email link, the recipient will be able to remove the reminder on the Dashboard by clicking the “x” at the end of the blue ribbon.
Sharing Training Logs With External Dogteampro Agencies
Dogteampro lets you easily share training logs with other agencies. If you're working with another Dogteampro agency, you can request to be added as an external user. The other agency can then invite you to share logs.
Note: The receiving agency must add you as an outside user to enable external sharing.
Note: External users will be labeled as external in the team field.
Sharing Feature Use Cases
One Way Sharing
A Master Trainer at Demo Sheriff's Office is responsible for creating training logs and sharing them with all team members attending a class. He has invited a handler from Dogteampro Police Department to join the group at Demo Sheriff's Office. They want to include this handler in the same training log, as everyone is performing the same exercises.
To make this work, the following requirements are needed:
- The handler at Dogteampro Police Department won't share any logs with the Demo Sheriff's Office.
- The master trainer at the Demo Sheriff's Office is creating logs for the handler at Dogteampro Police Department, but the review process is managed by a supervisor at the Demo Sheriff's Office.
- Dogteampro Police Department would like to restrict the master trainer's access to log sharing only.
To set this up, the Master Trainer needs to:
- Requests that an administrator at Dogteampro Police Department adds him to their account as an "Outside Handler."
An administrator at Dogteampro Police Department needs to:
- Add the Master Trainer as an "Outside Handler" to restrict his access to log sharing only.
- After successfully adding the Master Trainer to the agency, the administrator confirms with him that he can now see the handlers listed in the team field.
Two Way Sharing
As time goes on, the handler from Dogteampro Police Department improves their skills and becomes an active member of the training group. Now, the Master Trainer wants to enable team-building by allowing all users to share logs with each other.
Requirements to follow:
- The Master Trainer needs to ensure all handlers at Demo Sheriff's Office can share logs with the handler at Dogteampro Police Department.
- Handlers at Demo Sheriff's Office should only have access to share logs and not view other logs at Dogteampro Police Department.
- Ensure the handler at Dogteampro Police Department is able to share logs with their team at Demo Sheriff's Office.
To accomplish this, the Master Trainer needs to:
- Requests that an administrator at Dogteampro Police Department adds the additional handlers as "Outside Handlers" to limit their access to sharing logs only.
- The Master Trainer has admin access to his account and adds the handler at Dogteampro Police Department as an "Outside Handler" so he can share logs with his agency.
- Confirm that every team member can see the K9 teams of the other agency, this will allow them to choose the K9 teams participating in the training.
Approving Reports From External Agencies
Note: To approve logs for an external agency, the Trainer Training Log Review must be enabled in the external agency.
The Master Trainer is promoted and now oversees two teams from different units, each with its own Dogteampro site. External sharing is set up, and he’s already an "Outside Handler" at Dogteampro Police Department. He needs to ensure the following to manage his new setup:
- He’s the only K9 trainer and needs the ability to approve training logs on both accounts without creating separate logins.
- He needs to keep the same sharing setup to allow team members to share logs with each other.
To set this up, the Master Trainer should:
- Request that an admin at Dogteampro Police Department changes his role from "Outside Handler" to "Trainer."
- When a log is shared with a handler at Dogteampro Police Department and returned for review, the Master Trainer can switch between agencies. He can do this by clicking on the agency name, selecting the dropdown menu, and choosing Dogteampro Police Department. This will allow him to see and approve the necessary training logs.
An administrator at Dogteampro Police Department needs to:
- Add the Master Trainer as an "Outside Trainer" or change their outside user role from "Handler" to "Trainer."
Note: For security and privacy reasons, Outside Trainers can only access training logs. If full access to training and deployment logs is required, a user account must be created within the agency.
