How to Manage Outside Users for External Log Sharing
Dogteampro makes it easier to work with other K9 teams or larger organizations that help smaller agencies with training. Instead of sharing PDF files or handwritten papers, Dogteampro keeps all training records in one place.
System administrators can add trainers or handlers from different agencies to share training logs with multiple agencies and create reports faster than using paper or PDFs. Handlers can access training records shared with other agencies from anywhere, without relying on physical documents or handwritten notes.
Dogteampro offers different user roles to ensure everyone has the right level of access.
Note: You need admin access on your Dogteampro account to add new outside users.
Adding A New Outside User
When you add an outside user to your agency, you are allowing them to see your K9 teams in the "Team" field of your training logs for sharing purposes.
To add a new outside user, go to the top right and use the drop-down arrow to select “Settings.” Then click on the “Users” tab. You'll see a tab called "Outside Users".
Click on the “Invite” option at the top right and enter the email of the user you want to add. The system will recognize if it’s a Dogteampro account, allowing you to select the user from the dropdown list.
Select the role and click on "Save" to apply the changes
Choosing The Correct User Role For An Outside User
Outside Trainer
If your K9 teams are working with trainers from our network of over 1,000 Dogteampro agencies, an Outside Trainer User could be a great fit if the following scenarios apply:
- The trainer is a Dogteampro user and part of an external agency.
- The trainer shares logs with your team.
- The trainer is part of a different agency, needs access to your training logs, and is responsible for reviewing and completing them for your agency.
Note: When adding an "
Outside Trainer", they will have access to all your training logs. This access is limited to training logs only, and deployment logs will not be available to them.
Outside Handler
If your review process is handled internally and you don't need to provide access to external users, but you still need to allow other handlers or trainers from different agencies to share logs with your team, an Outside Handler User could be a great fit if the following scenarios apply:
- The handler is a Dogteampro user and part of an external agency.
- The handler shares logs with your team.
- A supervisor or trainer from your agency is responsible for reviewing and completing the logs.
Outside Decoy
If you have dedicated collaborators from a different Dogteampro agency who serve as decoys for your K9 Unit, you can grant them specific access to create maps only. This limited access allows them to use the app to prepare maps for your team in advance without accessing other features or settings within your agency.
Deactivate An Outside User
If the user is no longer part of your regular training sessions and you no longer need them to have access to share logs with your team, you can revoke their access.
Hover over the outside user and click on the "Edit" option
Then click on the "Inactive" option and click on "Save" to apply the changes.
